02Portfolio-wide

03Per scheme

04Compliance
We log the expiry date of every document we hold for each scheme and send the renewed version at least 30 days before the old one runs out. You never have to chase a certificate of currency, and your contractor register stays accurate without any effort on your part.
Height work gets particular attention. WorkSafe Victoria requires a safe work method statement before high risk construction work, including jobs with a risk of falling more than two metres. We prepare one for every gutter and high-glass job, whether or not it is strictly construction, and file it against the scheme so it is there if a committee member or insurer asks. 05Onboarding
Scheme by scheme, in the order existing contracts end. We never ask you to switch a whole portfolio on one date. Each building gets a walk-through, a quote for its committee and a supervised first month, so residents notice the change for the right reasons.
Your schemes, lot counts, current contractors and contract end dates, in a spreadsheet or email.
Each building visited and photographed, often two or three in a morning when they are close together.

Each scheme starts the day after its old contract ends, with extra supervision for the first month.
Keys and fobs are the practical detail that trips up most handovers. We collect them from the outgoing contractor or the manager's office against a signed register for each scheme, test every one on the first visit, and report any that do not work before the first clean is due.
For a large portfolio this might take a year, and that is fine. A staged move avoids breaking contracts early, lets each committee decide in its own time, and gives us the chance to prove the work on the first few schemes before the rest follow.
06For the meeting
A short pack for each scheme: the quote, a one-page summary of visits and hours, a defect list with status, the current certificate of currency and any proposed changes. 07Portfolio enquiry
Send the size of the portfolio, where the schemes are and when the next contracts end. Our account contact replies in writing, suggests which schemes to walk first and books the visits around your diary. One building or forty, the first step is the same.
Tell us which parts of your current arrangements work well. If a committee loves its current bin room routine or a particular day of the week, we will keep it rather than impose ours. The aim is fewer problems for you, not a change for the sake of it.
